We collect information only as needed to acknowledge receipt, process submissions, and fulfill orders. Dates and submission details will be announced once the project moves into its public phase.
1) What we collect
Submissions: your letter content and any info you include.
Contact info: email/postal details you share for acknowledgment or orders.
Orders: name, email, shipping address; payments are processed by [Stripe/PayPal/etc.] under their policies (we don’t store card data).
Email sign-ups: your email if you opt in.
Site analytics: basic, aggregate metrics (no targeted ads).
2) How we use it
To acknowledge receipt, curate/edit/publish the magazine and archive, process and ship orders, communicate project updates, and promote the project (without publishing contact details).
3) What we publish
Selected letter content (raw or interpreted) without personal contact details. Attribution is first name + initial(s) if provided, or anonymous.
4) Sharing
We do not sell or rent personal data. We share only with service providers as needed (payment, printing/fulfillment, email/newsletter, hosting/analytics), each operating under their own privacy terms.
5) Retention
Publication files & selected letters: retained as part of the project record.
Orders/receipts: retained as required by law.
Email list: until you unsubscribe or request deletion.
6) Your choices
Unsubscribe from emails at any time.
Request access/correction/deletion of your contact info: [hello@thelettercampaign.com] (subject: “Data Request”).
Withdraw your Submission before the cutoff (see Terms).
7) Security
We use reputable providers and limit access to participant data, but no system is 100% secure. Please avoid including sensitive personal details you do not want retained.
8) Cookies
Basic functional and aggregate analytics cookies may be used; no targeted advertising cookies.
9) Updates
We may update this Policy; changes will be posted here with a new “Last updated” date.
